About the Role

We are looking for an Administrative Assistant to greet visitors, operate multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Perform a wide range of administrative support duties. In-depth understanding of office management systems and daily operations and procedures. Organize, prioritize and coordinate multiple work activities with demonstrated ability to meet deadlines. Schedule and coordinate meetings and arrange conferences. Develop and carry out an efficient documentation and filing system and monitor for needed updates. Distribute correspondence memos, letters, faxes and forms. Act as support to Human Resources and Talent Acquisition by performing various assigned duties.

What you'll do

The successful candidate will be responsible for:

  • Working the reception desk. Greet and direct visitors to executive and/or appropriate party. Answer all incoming calls and take messages or transfer to appropriate department.

  • Assist the Human Resources and Talent Acquisition departments as needed.

  • Assist with high volume, full cycle Recruitment process.

  • Must inform HR if front company gates are open and operating properly.

  • Ensuring the security guard arrives in a timely manner.

  • Ensure visitors comply with parking procedures.

  • Maintain comprehensive and accurate corporate records, documents and reports.

  • Handle sensitive information in a confidential manner.

  • Review and distribute incoming mail, file correspondence and other records. Make copies and/or print any documents and attach appropriate correspondence.

  • Updates and distributes Strategic Plan and/or changes to Staff.

  • Calendar management - organize and schedule appointments for executives and staff meetings.

  • Coordinate conferences and special events. (onsite)

  • Arranges travel schedule and reservations.

  • Organize and coordinate luncheons for staff and/or customers and various company meetings and functions.

  • Compile statistical reports as needed.

  • Prepare organizational charts using software program.

  • Enhanced communication between manufacturing department and executive team, fostering a sense of teamwork and collaboration.

  • Keep mailroom neat and employee's names on boxes in alphabetical order. 

  • Always ensure that there is paper in the fax machine. 

  • All receptionists should be able to operate the postage machine, understand the various types of mailing (registered, certified, priority, overnight, etc.) and be fully capable of mailing and distributing the incoming mail and monitor postage meter.


What we're looking for

  • An individual that will always remain professional as they are the first impression of Canoga Perkins both in person and over the phone. The successful candidate will not be on their phone, chewing gum, eating at the front desk, or keep reading material at their desk. This position requires strict punctuality.



What would be useful

  • Computer skills, customer service experience, understanding of office machinery operation, the ability to multiple task, serving multiple departments, interacting with various levels of management.



Must Have

The successful candidate must have:

  • Basic written and verbal communication skills.

  • High school diploma or general education degree (GED). Six months switchboard/receptionist experience and/or training; or equivalent combination of education and experience.

  • Human Resources and/or Talent Acquisition experience or training a plus.
